Add automated actions in your workflow

Automated actions in Recruitera help you save time and keep your hiring process consistent. You can attach actions to any stage of your workflow so that when a candidate reaches that stage, the action is triggered automatically

Types of Automated Actions

Recruitera currently supports three types of automation:


1. Automated Emails

Automatically send messages to candidates when they enter a stage.

How to set up:

  1. In your workflow, click the + next to a stage.

  2. Select Send Email.

  3. Fill in:

    1. Subject

    2. CC/BCC (optional)

    3. Body text (use placeholders like First Name, Last Name, Job Title, Company Name).

  4. (Optional) Upload attachments (PDF, Word, Excel, Images, up to 50 MB).

  5. Choose an existing template or write a new one.

  6. Click Save.

💡 Example: Send an “Application Received” email when candidates reach the Applied stage.


2. Questionnaires

Collect structured information from candidates as they progress.

How to set up:

  1. Click the + next to a stage.

  2. Select Questionnaire.

  3. Enter a Form Category (e.g., “Technical Test”).

  4. Add questions, choosing from:

    1. Short Answer

    2. Long Answer

    3. Multiple Choice

    4. Yes/No

    5. Salary Range

  5. Mark questions as Required if candidates must answer.

  6. Click Save.

💡 Example: At the Phone Screen stage, send a questionnaire asking about availability, expected salary, or technical skills.


3. Tasks

Assign tasks to team members to keep the hiring process on track.

How to set up:

  1. Click the + next to a stage.

  2. Select Task.

  3. Choose a team member from the list.

  4. Set a Due Date.

  5. Add a Description (e.g., “Schedule technical interview”).

  6. Click Submit.

💡 Example: At the Interview stage, assign a recruiter the task to “Call the candidate within 48 hours.”


Managing Automated Actions

  • You can add multiple actions to the same stage.

  • Remove actions anytime by clicking the X icon.

  • Edit actions if you need to adjust messaging, deadlines, or questions.


Best Practices

  • Use emails for candidate-facing communication.

  • Use questionnaires for structured pre-screening or assessments.

  • Use tasks to assign internal follow-ups and maintain accountability.

  • Combine multiple actions at the same stage to streamline communication and workflows.
