Automated actions run by themselves when a candidate reaches a stage, so routine emails, questionnaires, and tasks happen without anyone remembering. You add them per stage on the job's Workflow tab. Editing a job's workflow needs the manage-jobs permission.
Before you start
Required role: a role with the Manage jobs permission
Where to find it: Jobs → Edit a job → Workflow tab → a stage's automations
The three automation types
Send Email — email the candidate automatically (see Send Automated Emails in Your Workflow).
Send Questionnaire — send a questionnaire to collect structured responses.
Create Task — assign a task to a team member with a due date (see Assign Automated Tasks in Your Workflow).
How to add one
On the Workflow tab, open the stage you want to automate and add an automation.
Choose the type, configure it (for example pick the email or questionnaire template), and save.
When a candidate reaches that stage, the automation runs automatically.
💡 The Sourcing stages (Referred, Sourced, Applied) support email and task automations only; the Active-process and Hires stages support all three.
Frequently asked questions
Can I reuse automations across jobs?
Yes — set them on a Pipeline template (Settings → Templates → Pipelines) and every job started from that template inherits them.
When exactly does an automation fire?
The moment a candidate enters the stage the automation is attached to.
