Requisition Approval Flow

The Requisition Approval Flow is how Recruitera keeps your hiring requests organized, compliant, and automatically routed to the right people.

Every department in your company has its own predefined chain of approvers — so once you create and submit a requisition, Recruitera takes care of the rest.

What the Approval Flow Does

The Approval Flow decides who reviews and approves a hiring request before it becomes a job post.


Each department has a specific approval chain that’s already set by your Admin from Account Settings — meaning:

  • You don’t have to select approvers manually.

  • Recruitera automatically assigns the right approvers based on the department you choose in your requisition.

  • The sequence follows your organization’s approval policy, ensuring consistency every time.

💡 For example:

  • A requisition for the Sales Department might route to the Sales Manager → HR Director → Finance Manager.

  • A Tech Department requisition might go to the CTO → HR → CEO.

This automation keeps your process structured and saves you from manually coordinating approvals.

Let’s walk you through how it works 👇

Go to Workflow Settings

Head to Settings

Then choose Workflow from the side bar→ Requisition Approvals.


Here, you’ll find three main tabs:

  • Approval Flows — where you build approval steps for each department.

  • Requisition Form — where you define what fields appear when someone creates a requisition.

  • Setup — where you control whether requisitions are mandatory before posting jobs.

💡 Think of this area as your company’s approval control center — all requisition rules start here.


Create or Edit an Approval Flow

Under the Approval Flows tab, you’ll see a list of existing flows.


To create a new one, click Add Flow. Then, follow these steps:

  1. Select the Department you want to create a flow for.

  2. Add Approval Steps in the order they should occur.

  3. Assign Approvers to each step by selecting team members from the dropdown list.

💡 Each flow can have multiple steps. For example, Marketing approvals might go first to the Marketing Manager, then HR, then Finance.


Add Multiple Steps

To create a sequence, click + Add Approval Step. Each step represents one level of approval.

Example:

  • Step 1: Department Head

  • Step 2: HR Manager

  • Step 3: CEO

You can remove or edit any step as needed. Once finished, click Save to apply your flow.

💡 Recruitera will automatically use this flow for all requisitions created under the selected department.


Customize the Requisition Form

Switch to the Requisition Form tab to define what information need to fill when creating a requisition.

You can include fields such as:

  • Job Title

  • Department

  • Number of Openings

  • Job Description

  • Employment Type

  • Salary Range

You can also add custom fields using + Add Field if your organization needs extra details.

💡 This ensures every requisition captures exactly the data you need — nothing more, nothing less.


Control When Requisitions Are Required

In the Setup tab, you can decide if every job post must go through a requisition first.

Toggle Require Requisitions ON if you want recruiters to always create a requisition before posting a job.

💡 If this is off, recruiters can post jobs freely without prior approval — best for smaller or fast-moving teams.

From one central place, you can:

  • Assign unique approval paths per department.

  • Define exactly what info each requisition must include.

  • Decide whether approvals are mandatory or optional.

Once this setup is complete, Recruitera takes care of routing, notifications, and approvals — automatically.
