Create a New Email Template

In this article, you’ll learn how to create and save email templates in Recruitera — so you can send professional, consistent messages to candidates faster, without rewriting the same email every time.

Go to Email Templates Settings

From your dashboard, navigate to: Settings

Then, navigate to Templates from the sidebar,

you’ll find subsections for Email, Application Forms, Evaluation Forms, Workflows, Questionnaire Forms, and Benefits Templates'


2️⃣ To Create an Email Template

  • Click on Email Templates < + New Email Template button on the top-right.


Add Template Details

A new template editor window will open.

Fill in the following fields:

  • Template Name: A short, clear name (e.g., “Interview Confirmation”).

  • Subject Line: The email’s subject as it will appear to candidates.

  • Add your CCs and BCCs

  • Body: Write your message using the editor.

    • You can format text (bold, italics, bullet points).

    • Insert links, images, or attachments if needed.

💡 Tip: Keep your message simple and friendly. Mention next steps or expected responses clearly.


Use Placeholders to Personalize Emails

Make your templates feel personal by inserting placeholders.
Click { } Add Placeholder to include dynamic fields like:

  • {First Name}

  • {Last Name}

  • {Job Title}

  • {Company Name}

These placeholders automatically pull data from each candidate’s profile when you send the email.


Save and Organize Your Template

Once you’re happy with your message, click Save Template.

You can categorize it by type, such as:

  • Application

  • Interview

  • Offer

  • Rejection

  • Internal Communication

💡 Organizing templates by type helps your team quickly find the right one when sending messages from candidate profiles or automated actions.


Use Your Template When Sending Emails

When you’re emailing a candidate or setting an automated email action, simply click Pick a Template and choose from your saved list.

Recruitera will automatically fill in placeholders with the candidate’s details — all you need to do is hit Send.


That’s it!
You’ve now created a reusable email template in Recruitera — helping your team send faster, more consistent, and personalized communication to every candidate.
