Create an Application Form Template

In this article, you’ll learn how to create reusable application form templates in Recruitera — so you can collect the right information from candidates for every job, without rebuilding your form from scratch each time.

Updated over 2 months ago

Go to Application Form Templates

From your dashboard, navigate to:
Settings → Templates → Application Form Templates

Here, you’ll see a list of all your saved forms. These can be linked to jobs, reused across departments, or edited anytime.

💡 Templates save time when posting multiple jobs with similar requirements — like roles that share the same fields or screening questions.

Create New Template

Click on Pick a Template < Set a new form on the top-right corner.
A new form builder window will open. Start by typing a Form Name

Give your form a clear name — for example:

  • “Sales Application Form”

  • “Technical Roles Application”

  • “General Hiring Form”

Candidate Information Fields

Every form begins with the essential FIXED candidate information fields. So, you don't have to add them when creating a template

It includes:

  • Full Name

  • Email Address

  • Phone Number

  • Gender

  • CV / Resume Upload

  • Photo Upload

Each field can be set to:

  • Required (candidates must fill it)

  • Optional (candidates can skip it)

  • Removed (hidden from the form)

Add Screening Questions

Next, you can add your own screening questions to filter candidates early.

Click + Add Question and choose a question type:

  • Short Answer – for open responses (e.g., “Why are you interested in this role?”)

  • Long Answer – for detailed explanations

  • Yes/No – for eligibility checks

  • Multiple Choice – for predefined answers

  • Salary Range – to capture expected compensation

Add Knockout Questions (Optional)

Knockout questions help automatically filter out unqualified candidates.

They can only be applied to:

  • Yes/No questions

  • Single Choice questions

  • Multiple Choice questions

  • Salary Range questions

To enable:

  • Add a qualifying question

  • Set the Disqualifying Answer (e.g., “No” → disqualify)

📌 When a candidate selects a disqualifying answer, Recruitera automatically marks them as “Disqualified” and sends a rejection email with the reason you defined.

Save Your Template

Once you’ve added all fields and questions, click Save Template.
Your new application form will now appear in your list of templates.

Reuse or Edit Anytime

To reuse your form:

  • Go to Jobs → Create Job → Step 2: Application Form Design

  • Choose Pick a Template and select your saved one

You can also return to Settings → Templates → Application Forms to edit or duplicate it anytime.

That’s it!
You’ve now created an Application Form Template in Recruitera — ready to use across multiple jobs, saving time and ensuring you always collect the right candidate information in a structured way.
