Create a Workflow Template

A workflow template defines the exact stages, automations, and assignments your hiring process follows — ensuring consistency, efficiency, and collaboration across your team.

In this article, you’ll learn how to create a Workflow Template in Recruitera — so you can reuse your hiring process across multiple jobs and departments without rebuilding it from scratch every time.


Go to Workflow Templates

From your dashboard, navigate to: Settings → Templates → Workflows

Here, you’ll see a list of all existing workflow templates your team has created.
You can create a new one or edit an existing template at any time.

💡 Workflow templates keep your hiring process consistent across jobs and make onboarding new recruiters much faster.


Create a New Template

Start by clicking ➕ Create Template in the top-right corner. Then, give your template a Name Click on Submit


A blank workflow will appear, ready for you to define your stages and setup.


Add Stages to Your Workflow

Once you start you will find two stages already predefined, which are (Sourced and Applied) Click + Add Stage to build the stages your candidates will go through.

Common examples include:

  • Screening

  • Interview

  • Evaluation

  • Offer

  • Hired

For each stage, you can customize:

  • Stage Name (e.g., “HR Interview”)

  • Stage Type (Applied, Screening, Interview, Offer, etc.)

  • Stage Color (to visually organize your pipeline)

  • SLA / Time Limit (number of days candidates shall stay in this stage)

💡 Consistent naming and color coding make your pipeline easier to navigate for everyone.


Add Automated Actions (Optional)

You can make your workflow smarter by adding automation to any stage.

Click + Add Automated Action and choose between:

  • Send Email – Automatically send messages to candidates.

  • Questionnaire – Send a form for pre-screening or assessments.

  • Task – Assign tasks to recruiters or managers automatically.

💡 Adding automation at this stage means every job created with this template will already have it built in.


When Assigning Team Members (Optional)

If you have specific recruiters or hiring managers who always handle certain stages, you can assign them directly in the template.

For example:

  • Screening → HR Recruiter

  • Interview → Hiring Manager

  • Offer → HR Lead

📌 This ensures new jobs automatically include the correct stage owners when this workflow is applied.


Save Your Workflow Template

Once you’ve added and customized your stages, assigned team members, and set automations, click Save Template. Your new workflow will now appear in your list of saved templates.


Apply Your Workflow Template to Jobs

When creating or editing a job:

  1. Go to Step 4: Workflow

  2. Click Pick a Template

  3. Choose your saved workflow

  4. Click Apply

All stages, team assignments, and automations will load instantly — ready to use.
