Set Up Your Requisition Module

To configure the Requisition Module and activate your internal approval process, go to: Go to Settings

Go to Workflow → Requisition Approval

Inside this section, you will find three setup steps:

  1. Approval Flows

  2. Requisition Form

  3. Setup Options

Each step must be configured before hiring managers can submit requisitions.


1. Approval Flows

Approval flows define who approves each hiring request and in what order.

Recruitera provides:

Two Default Approval Flows

  • A default workflow

  • Customize a workflow based on department

You can tailor approval rules for each department (e.g., HR, Sales, Tech) while keeping the default for others.

How to build an approval flow

Inside each department workflow you can:

➤ Add Approval Steps

You can create multiple approval steps. Each step contains:

  • 1 or more approvers

  • Assignment rule:

    • All approvers must approve

    • Any approver can approve

  • SLA (deadline for approval) — must be greater than 2 days

  • Add as many steps as needed to reflect your internal approval chain

Examples:

  • Step 1: Hiring Manager

  • Step 2: Finance

  • Step 3: HR Director

  • Step 4: CEO (for high-budget roles)

Recruitera automatically routes requests in the correct order.


2. Requisition Form

This is the form hiring managers fill when creating a new requisition.

Recruitera provides two default mandatory fields:

  • Job Title

  • Department

  • Job Opening

You can then customize the rest of the form to match your internal requirements.

Choose standard fields

From the dropdown, select built-in job fields such as:

  • Location

  • Workplace

  • Job Description

  • Employment Type

  • Hiring Budget

  • Experience

  • Salary Range

  • Candidate’s anticipated start date
    …and more.

Just tick the fields you want to include and click Add.

Create custom fields

For more flexibility, you can create your own fields:

  • Short answer

  • Long answer

  • Dropdown

  • Number field

  • Multi-select

  • Required / optional toggle

Custom fields let you capture internal notes, budget codes, project IDs, justification questions, etc.


3. Setup Options

In the Setup tab, you can enable additional system behaviors:

Require Requisitions

When turned ON:

  • A requisition must be created and approved before publishing a job

  • Recruiters cannot skip the request

This enforces internal compliance.

Automatically Update Manpower Project

When enabled:

  • Approved requisitions automatically sync with your manpower planning

  • Ensures alignment between hiring needs and approved headcount


Your Requisition Module Is Now Ready

Once these three steps are configured:

  • Hiring managers can start submitting requisitions

  • Approvers will receive notifications based on your workflow

  • Recruiters can open jobs only after the request is approved (if required)
