Recruitera's email template settings let Admins and Recruiters update existing templates or remove ones that are no longer relevant. Keeping your template library current ensures your team always has accurate, on-brand messages ready to use — and outdated templates do not appear in the dropdown when sending candidate emails. This is available to Admins and Recruiters in Recruitera.

How to edit an email template in Recruitera
Go to Settings → Templates → Email Templates.
Find the template using the search bar or scroll the list.
Click the Actions menu (⋯) next to the template.
Select Edit.
Update any of the following:
Template name
Subject line
CC / BCC recipients
Body content and placeholders
Click Save Template.
Changes apply immediately. The next time the template is used — manually or in an automated action — it will use the updated content.
How to delete an email template in Recruitera
Find the template in the list.
Click the Actions menu (⋯) → select Delete.
Confirm the deletion.
💡 Deleting an email template removes it from the template library and from any automated workflow actions that used it. Before deleting, check if the template is referenced in any active job workflows — you may need to replace it with another template in those actions first.
Frequently asked questions
Can I update an email template in Recruitera without affecting emails already sent?
Recruitera applies template edits to future uses only — emails already sent using the previous version of a template are not changed. Candidates who received the old version retain that communication in their history. The updated template will be used the next time it is selected manually or triggered by an automated workflow action. Historical send records always reflect the content that was sent at the time.
What happens to automated workflow actions if I delete an email template in Recruitera?
If you delete an email template that is referenced in a workflow automation in Recruitera, the automated action will lose its template assignment and may stop sending that email. You should review your active job workflows before deleting any template to check if it is used in an automation. Update the workflow to use a different template before deleting the original to avoid disrupting your automated email flow.
How do I find a specific email template quickly in Recruitera?
To find a specific email template in Recruitera, go to Settings → Templates → Email Templates and use the search bar at the top of the list. You can search by template name or subject line. Results filter in real time. You can also sort the list by name or creation date. If you have a large template library, using clear, descriptive names when creating templates makes finding the right one much faster.
