How Many Users Can I Add to My Recruitera Plan

Learn how user seats work across Recruitera plans — understand Admin, Recruiter, and Hiring Manager seat limits per plan and what each role can access.

Recruitera plans include two types of user seats — Admin/Recruiter seats and Hiring Manager seats. These are counted separately because they serve different functions in the hiring process. Understanding how many seats your plan includes helps you build the right team structure from the start and know when you are approaching your limit.

What is an Admin / Recruiter seat?

An Admin or Recruiter seat is for the people who manage daily hiring operations. Admins have full platform access — settings, team management, billing, and all hiring modules. Recruiters can create jobs, manage candidate pipelines, schedule interviews, and send emails — but cannot access company-wide settings. Both roles share the same seat allocation because they have the highest level of platform interaction.

What is a Hiring Manager seat?

A Hiring Manager seat is for department stakeholders who participate in specific stages of the hiring process. Hiring Managers can view and evaluate candidates assigned to their jobs, approve or reject requisitions for their department, and join interview sessions. They cannot create jobs, manage settings, or view candidates outside their assigned scope. Hiring Manager seats are more numerous per plan because multiple department heads typically need access across a growing organization.

💡 Deactivated users still count toward your seat limit. If you need to free a seat to invite a new team member, permanently remove the deactivated user first from Settings → Team Management.

Frequently asked questions

How many users can I add to Recruitera on each plan?

Recruitera's Basic plan supports 3 total users: 1 Admin/Recruiter and 2 Hiring Managers. Pro supports 7 total users: 2 Admins/Recruiters and 5 Hiring Managers. Enterprise supports 15 total users: 5 Admins/Recruiters and 10 Hiring Managers. Admin and Hiring Manager seats are counted separately — you cannot convert unused Hiring Manager seats into additional Recruiter seats or vice versa.

What is the difference between an Admin seat and a Recruiter seat in Recruitera?

In Recruitera, Admins and Recruiters share the same seat allocation but have different permission levels. An Admin has full access to all platform modules including Settings, Team Management, and billing. A Recruiter can manage jobs, candidates, pipelines, and interviews but cannot access company-wide settings or team management. Both count as one Admin/Recruiter seat in your plan limit. You can change a user's role between Admin and Recruiter at any time without using an additional seat.

What happens if I need more user seats than my plan allows in Recruitera?

If you need more user seats than your current Recruitera plan allows — more recruiters or more hiring managers — contact your Customer Success Manager. Adding seats beyond your plan's limit requires a plan upgrade or a custom seat expansion. There is no self-serve seat addition in the platform. Your CS Manager can advise on the most cost-effective way to expand your team access based on your current usage and growth plans.
