Every job's pipeline has two tabs for keeping track of what's happening on the job as a whole — Activity and Notes. This article explains what each one is for. Both live on the job's pipeline, so opening them needs permission to view the job.
Before you start
Available to: anyone who can view the job (Admins, Recruiters, and Hiring Managers)
Where to find it: Jobs → open a published job's pipeline → Activity or Notes tab
The Activity tab
A chronological record of everything that has happened on the job — candidates added and moved between stages, automations that ran, and other pipeline events — newest first. Use it to catch up on what changed and who did what, without opening each candidate one by one.
The Notes tab
Job-level notes for your hiring team — a shared space to leave context, decisions, and reminders about the job itself, as opposed to notes on an individual candidate. Everyone with access to the job can read and add notes, so it's a good way to keep the team aligned.
💡 Candidate-level activity and notes live on the candidate's own profile — the job's Activity and Notes tabs are about the job as a whole. For the rest of the pipeline, see Explore the Job Pipeline.
Frequently asked questions
What's the difference between the job's Notes and a candidate's notes?
The Notes tab on the pipeline is for the job as a whole — team context and decisions about the role. Notes about a specific person live on that candidate's profile instead.
Who can see what I add to Activity and Notes?
Anyone who can view the job. Activity is a system-generated record everyone sees; Notes are shared with the whole hiring team on that job.
