How to Use the Hiring Funnel Report

In this article, you'll learn how to read the Hiring Funnel report — including what each scorecard measures, how to interpret the Funnel Table, and how to use the Candidates per Stage Over Time chart to spot pipeline trends.

Navigating to the Hiring Funnel Report

1. Go to Reports in the left navigation.

2. Click Hiring Funnel in the left sidebar. It's the first report in the list.

Reading the Scorecards

The top of the Hiring Funnel report shows four scorecards. These give you the headline numbers before you look at the detail below.

Published Jobs — The total number of jobs currently published and accepting applications.

Filled Jobs — The number of jobs that have been successfully filled within the selected date range.

Fill Rate % — The percentage of published jobs that were filled. Calculated as Filled Jobs ÷ Published Jobs × 100.

Days to Fill — The average number of days it takes to fill a job from the day it was published.

💡 Tip: Use the Date filter to compare your fill rate and days to fill across different time periods. A rising Days to Fill over consecutive months signals a pipeline bottleneck worth investigating.

Reading the Funnel Table

The Funnel Table shows how candidates move through each stage of your hiring process. Each row is a stage type.

Stage Type — The name of the hiring stage (Apply, Phone Screen, Interview, Evaluation, Offer, Hire).

Total Candidates — The number of candidates who reached this stage.

Conversion % — The percentage of candidates who moved from this stage to the next.

Avg Time in Stage — The average number of days candidates spent in this stage before moving forward or being disqualified.

📌 Note: A low Conversion % at a specific stage — combined with a high Avg Time in Stage — is a strong signal of a bottleneck. This is where candidates are getting stuck, not just rejected.

Reading the Candidates per Stage Over Time Chart

The line chart at the bottom of the report shows candidate volume across each stage over time. Use it to track pipeline growth and spot emerging trends before they affect your fill rate.

• Each line on the chart represents a different stage type. Use the legend to identify which line is which.

• A flat line for later stages (Interview, Evaluation) while early stages are growing suggests sourcing is working but assessment is stalling.

• Sudden drops in the Apply line may signal a sourcing or job visibility issue.

💡 Tip: Filter by a specific Job or Department to see the funnel for a single role or team. This helps isolate whether a bottleneck is company-wide or specific to one hiring context.
