Recruitera's email templates let Admins and Recruiters create reusable, pre-written emails for every stage of the hiring process — from application acknowledgments to interview invitations and offer letters. Instead of writing the same message from scratch each time, your team picks a template, and Recruitera auto-fills candidate details using dynamic placeholders. This is available to Admins and Recruiters in Recruitera.

How to create an email template in Recruitera
Go to Settings → Templates → Email Templates.
Click + New Email Template.
Fill in the template details:
Template Name — an internal label (e.g. "Interview Confirmation", "Application Received", "Offer Letter")
Subject Line — the email subject candidates will see
CC / BCC — optional recipients to copy on every email using this template
Body — write your message using the rich text editor
Use placeholders to personalize the email automatically:
{First Name} — candidate's first name
{Last Name} — candidate's last name
{Job Title} — the job they applied for
{Company Name} — your company name
{signature} — the sender's email signature from My Account
Click Save Template.
💡 Recruitera replaces placeholders automatically when the email is sent — each candidate receives a personalized message without any manual editing.
How email templates are used in Recruitera
Recruitera allows your team to use email templates in two ways. Recruiters can select a template when sending a manual email from a candidate's profile by clicking Send Email and then Pick a Template. Templates can also be added to automated workflow actions — so when a candidate reaches a specific pipeline stage, Recruitera sends the email automatically without any manual trigger.
Frequently asked questions
How do I create an email template in Recruitera?
To create an email template in Recruitera, go to Settings → Templates → Email Templates and click New Email Template. Enter a template name, subject line, and body. Use placeholders like {First Name} and {Job Title} to personalize the message automatically for each candidate. Add CC or BCC recipients if needed and click Save Template. What placeholders can I use in Recruitera email templates?
Recruitera supports several dynamic placeholders in email templates: {First Name} inserts the candidate's first name, {Last Name} inserts their last name, {Job Title} inserts the job they applied for, {Company Name} inserts your company name, and {signature} inserts the sender's personal email signature configured in their My Account settings. Click the Add Placeholder button in the template editor to insert them without typing manually.
Can I use email templates in automated workflow actions in Recruitera?
Recruitera supports using email templates in automated pipeline actions. When setting up a workflow stage, you can add an automated email action and select any saved template from Settings → Templates → Email Templates. When a candidate reaches that stage, Recruitera sends the email automatically using the template — with all placeholders filled in using the candidate's real data. This removes manual follow-up for routine communications like interview confirmations or stage updates.
