Learn how to create questionnaire templates in Recruitera — build automated mid-pipeline forms to collect candidate availability, salary expectations, and pre-screening answers.

Recruitera's questionnaire templates let Admins create forms that are sent to candidates automatically when they reach a specific pipeline stage. Unlike application forms that candidates fill in at the point of applying, questionnaires are triggered mid-pipeline — making them ideal for collecting availability, salary expectations, technical pre-screening answers, or any information needed before moving a candidate forward. This is an Admin-only action in Recruitera.

How to create a questionnaire template in Recruitera

  1. Go to Settings → Templates → Questionnaire Templates.

  2. Click + New Questionnaire.

  3. Enter a Template Name (e.g. "Pre-Interview Screening", "Availability & Salary Check", "Technical Pre-Assessment").

  4. Add your questions. Supported question types:

    • Short Answer

    • Long Answer

    • Multiple Choice

    • Yes / No

    • Salary Range — candidate inputs their expected salary range

  5. Mark questions as Required if candidates must answer before submitting.

  6. Click Save.

💡 Recruitera sends questionnaires to candidates automatically when they reach a pipeline stage that has a questionnaire action configured — candidates receive an email with a link to complete the form. Their answers are saved in their profile under the Questionnaires tab.

How questionnaire templates are used in Recruitera

Once created, questionnaire templates can be added as automated actions inside pipeline stages. When building or editing a job workflow, Admins select a stage and add a Questionnaire action — choosing the template to send. When a candidate reaches that stage, Recruitera automatically sends them the questionnaire by email. Recruiters can view completed responses in the candidate's profile and use them to decide whether to advance or disqualify the candidate.

Candidate questionnaire answers in Recruitera are saved in the candidate's profile under the Questionnaires tab. Each submitted questionnaire shows the form name, submission date, and all question-and-answer pairs. If a candidate was sent multiple questionnaires across different pipeline stages, each submission is stored separately and viewable from the same tab. Admins and Recruiters can review answers without leaving the candidate profile.
