Offer letter templates are reusable offers — a document plus a message with placeholders — that you send when making an offer. This requires a role with permission to manage offer templates (typically Admins).
Before you start
Required role: a role with the Manage offer templates permission (typically Admins)
Where to find it: Settings → Templates → Offer Letters
How to create an offer letter template
Open Settings → Templates → Offer Letters and click + New template.
Enter a Name and set the Language and Collar type. Optionally choose a Department and Location to scope the template (leave them blank to make it available for all jobs), and add a Tag to group and filter templates.
Upload the Offer document — a .docx file that acts as the offer's shell.
Write the Message that accompanies the offer, inserting placeholders such as [candidate first name], [job], and [company].
Set the Status (Draft, Active, Paused, or Archived) and click Save Template.
💡 Only Active templates are available to send; use Draft while you're preparing one and Archived to retire it without deleting.
