How to Merge Duplicate Candidates in Recruitera

Spot duplicate candidate profiles and merge them into one, keeping the history from both.

When the same person ends up in Recruitera more than once — applied to two roles under slightly different details, or added by hand and later imported — you can merge the duplicates into a single profile so nothing is scattered across records.

Spotting duplicates

When Recruitera detects likely duplicates, a bar appears across the top of the candidate's profile: "N similar candidate profiles found." It shows the current profile and each possible match as chips — click any chip to open that profile and compare.

Keep separate or merge

On the duplicates bar you have two choices:

  • Keep separate — dismiss the match if they're genuinely different people.

  • Compare & Merge — open the side-by-side comparison to merge them.

Compare & Merge

  1. Click Compare & Merge. The two profiles appear side by side — "You are currently viewing" and "Similar profile."

  2. Choose Merge (or Keep separate) for the similar profile.

  3. If the two names differ, pick which name to keep.

  4. Click Confirm merging.

The two records become one, carrying the history from both.

Good to know

  • Merging can't be undone, so compare the two profiles before confirming.

  • If both candidates applied to the same job, that job keeps a single application after the merge (there's one application per candidate per job).
