Self-Scheduling for Candidates

Interview scheduling is one of the most time-consuming parts of recruitment — endless back-and-forth messages, mismatched calendars, and missed slots.


That’s why Recruitera introduced Self-Scheduling for Candidates — a feature that lets candidates pick their own interview slots based on your availability. It saves recruiters hours every week, speeds up coordination, and gives candidates a smoother experience.

Create a Time Schedule Link

Recruitera lets you easily create time scheduling links that you can share with candidates — making it effortless to coordinate interviews without endless back-and-forth emails.

Once you set it up, you can send this link directly from the candidate’s email tab and allow them to pick a slot that works for everyone involved.

Let’s walk through how it works 👇

Go to Time Schedule

From your main dashboard, click the 📅 Time Schedule icon in the sidebar.


Here, you’ll find a list of all your created scheduling links — each showing its name, meeting type, expiration date, and status (Active/Expired).

💡 Think of this section as your library of reusable scheduling templates for interviews. You can even customize your links by department or seniority level — for example, create one link for Marketing Interviews and another for Senior Technical Roles. This makes it easier to find and reuse the right link later, without creating a new one every time.

Create a New Schedule Link

Click “New Schedule Link” to start building one.


A pop-up window will appear with all the details you need to fill in.

Here’s what to add:

  • Name: Give your schedule a clear title (e.g., Tech Interview – Round 1).

  • Meeting Type: Choose between On-site or Online.

  • Duration: Set the length of each interview slot (e.g., 30 or 60 minutes).

  • Location / Meeting Link: Add your meeting room or a Google Meet link.

  • Expiration: Decide when the link should expire.

  • Remind Candidate: Toggle on if you want the system to send a reminder before the interview.

  • Date Range: Define how many upcoming days candidates can book from (e.g., 7 days).

  • Notes: Add any internal notes if needed.

💡 The expiration date and range help you control when this link is valid — so candidates don’t book outside your planned window.

Add Interviewers and Availability

Now it’s time to decide who will conduct the interviews and when they’re available.

On the right-hand side, you’ll see the Interviewers section.


By default, your own profile appears first, so start adding your availability.


Then you can easily click “Add Interviewer” to include more team members.

Once added, tick the days they’re available and set their time slots (e.g., 9:00 AM – 4:00 PM).

💡 You can even add multiple slots per day — perfect if your team splits interviews between morning and afternoon.

Save and Activate Your Link

When you’re done, click Set Interview to finalize. Your new time schedule link will now appear on your Time Schedule list as Active, ready to be used in emails.

You can always edit, deactivate, or delete it later.


Sending the self-schedule link

There are two ways you can send self-schedule links, depending on how you prefer to manage your workflow 👇

1️⃣ Through a Job Workflow (Automated Scheduling)

If you want Recruitera to handle scheduling automatically when candidates reach a specific stage (for example, HR Interview), here’s what to do:

  1. Go to the Job Edit page.

  2. Open the Workflow tab.

  3. Choose the stage where you want to send the self-schedule email — such as HR Interview or Technical Assessment.

  4. Click Add Automated Action → Email.

  5. In the email setup, either:

    • Write your own message, or

    • Select an existing email template.

  6. From the Tags list, choose Schedule Link.

  7. Pick the time schedule link you created earlier.

💡 Once this is set, Recruitera will automatically send the email with the scheduling link to every candidate who enters this stage.

And here’s the best part — once a candidate books a slot, that time is automatically blocked for others. No more overlaps, no confusion, no need to double-check calendars.


2️⃣ Directly from a Candidate’s Profile (Manual Self-Scheduling)

You can also send a self-schedule link directly to a single candidate at any time.

Here’s how:

  1. Go to the Candidate’s Profile.

  2. Click Send Email.

  3. Write your message or pick a template.

  4. From the email tags, select Schedule Link.

  5. Choose which link you want to include.

  6. Send the email — and the candidate can immediately choose an available slot.

Once the candidate confirms, their booking appears on your calendar automatically — and the time slot disappears from everyone else’s view.
