Customize Interview Invitation Emails

Recruitera now allows you to fully customize the email that is sent to candidates and the email that is sent to interviewers when an interview is scheduled.

Where to Customize Interview Emails

When you schedule an interview:

  1. Choose the interview type, date, time, and interviewers.

  2. Once you confirm the interview, am email invitation pops up

  3. Scroll to the Email to Candidate and Email to Interviewer(s) sections.

You will now see two separate editable email boxes:

  • Candidate Invitation Email

  • Interviewer Invitation Email


Customize the Candidate Invitation

You can edit:

  • The greeting and message

  • Interview details

  • Preparation instructions

  • Attachments or links

  • Notes for remote interviews (Zoom/Meet link)

  • Your company’s tone of voice

This email is sent directly to the candidate once the interview is confirmed.


Customize the Interviewer Invitation

You can now edit the message that goes to any internal team member added as an interviewer.


This allows you to:

  • Add internal instructions

  • Share candidate context

  • Include CV or portfolio links

  • Add evaluation expectations

  • Link to the evaluation template

  • Provide interview structure or talking points

This email is only sent to team members — not the candidate.


What Happens After Sending

  • Both emails are delivered immediately once the interview is scheduled.

  • Calendar invites include your custom message content.

  • Interviewers see all details inside their email + calendar.

  • The candidate sees only the candidate email (not interviewer notes).
