What Is Smart Candidate Distribution?
Smart Candidate Distribution automatically assigns incoming candidates to the recruiters on your team based on rules you define. Instead of manually deciding who handles each applicant, the system does it for you — and every candidate gets a visible recruiter tag on their Kanban card so the whole team knows who owns what.
📌 Note: Smart Candidate Distribution is available on the Enterprise plan. If you don't see the toggle in your job setup, contact your CS team to learn more.
When Does the Toggle Appear?
The toggle appears automatically in Step 3 (Team Members) of the job creation flow — but only when two or more recruiters are added to the job. If only one recruiter is assigned, distribution doesn't apply.
How to Enable It
Start creating a new job or open an existing job in draft.
Navigate to Step 3: Team Members.
Add two or more recruiters to the Added Members list.
Once the second recruiter is added, the Auto-Distribute Candidates toggle will appear below the member list.
Toggle it on.
The Candidate Distribution panel will open. Choose your distribution mode and configure your settings.
Click Save when done.
💡 Tip: You can enable or change distribution settings on an existing job at any time. If candidates have already been assigned using the current mode, you'll be prompted to confirm the mode switch before changes apply.
What Happens Next
Incoming candidates are automatically assigned to a recruiter based on the mode you selected.
Each assigned candidate displays a recruiter tag on their Kanban card — visible to everyone on the team.
Assignment data feeds directly into the Hires report Recruiter Performance table.
📌 Note: If a recruiter is removed from the job after distribution has already run, a notification will appear asking you where their currently assigned candidates should be reassigned. You must confirm a new owner before the removal is completed — no candidate is left unassigned.
