Learn how to manage Hiring Rules in Recruitera — organization-wide toggles for smart candidate distribution, conflict management, and job-title recommendations.

Hiring Rules control which hiring modules are active across every job in your organization. Each rule is a single switch that changes how candidates move through all your jobs. This action is available to Admins; which rules you can change depends on your plan and role.

Before you start

  • Required role: Admin (the rules you can change depend on your plan and role)

  • Where to find it: Settings → Workflow → Hiring Rules

The hiring rules

  • Smart Distribution — candidates are routed to the most suitable recruiter based on workload, department, and skills, instead of all landing on the primary recruiter.

  • Open Conflict Management — recruiters can flag and resolve conflicts over a candidate who is already in another job's pipeline, instead of that candidate being locked to whoever got there first.

  • Show job titles when creating a job — when this is off, users only see recommendations from your company's predefined job titles or can enter a custom title; external job-title recommendations are not shown.

How to change a rule

  1. Open Settings and, in the Workflow group, select Hiring Rules.

  2. Use the toggle on a rule to turn it on or off. The change applies immediately — there's no separate Save.

💡 A rule you don't have permission to change (on your plan or role) won't appear, so you only see the switches you can actually use.

Yes. These are organization-wide switches — turning one on or off changes behavior across every job in your workspace.

Why don't I see all three rules?

Each rule requires the right plan entitlement and role. Recruitera only shows the rules you're allowed to change, so a rule you can't set is hidden rather than shown as disabled.
