Using Team Availability When Scheduling Interviews

Team Availability helps you see when your interviewers are free—so you can schedule interviews without conflicts or back-and-forth coordination.

You can access it directly while scheduling an interview from the candidate profile.

How to Use Team Availability

  1. Open the candidate’s profile and click Set Interview.

  2. Choose the interview date, time, and duration.

  3. Add your interviewers.

  4. Click Check Team Availability to open the availability calendar.


What the Availability Calendar Shows

The calendar displays a full week with real-time availability for all selected interviewers:

  • Busy times → Shaded blocks

  • Available times → Clear/white slots

  • Overlapping availability → Only shows slots where all selected interviewers are free

  • Navigation arrows → Move between weeks if you need to find later dates

This makes it easy to pick a time that works for everyone.


Selecting a Time Slot

  1. Click on any available slot.

  2. The slot will highlight as your selection.

  3. Click Save to return to the scheduling form with the chosen time filled automatically.

Add the meeting link and organizer, then proceed to the next step to customize your interview invitations.

Important Notes

  • Availability is synced from each interviewer’s connected calendar (Google or Outlook).

  • If a user hasn’t connected their calendar, the system can’t show accurate availability for them.

  • The feature only checks availability for the interviewers you selected.
